Facilio vs MaintainX

Two CMMS platforms that have added AI to an established product, aimed at different buyers. Facilio sells a connected facilities suite for building portfolios (CMMS, building energy and fault detection, refrigeration compliance) with a set of named AI agents and quote-only plans. MaintainX sells per-user CMMS and enterprise asset management with published prices, a free plan and AI for troubleshooting, summaries and anomaly detection, and its site says MaintainX joins Autodesk. Vendor pages read Oct 21, 2026; desk research, not tested, no winner.

What it doesConnected operations and CMMS platform for facility management, with work orders, maintenance, assets, energy monitoring and Atom AI agents. It covers work orders and service requests, preventive maintenance, asset lifecycle, inspections, inventory and procurement, vendor and tenant portals, plus Connected Buildings (energy monitoring, cloud optimization, fault detection and diagnostics) and Connected Refrigeration. Atom Suite is a set of AI agents inside the platform that the vendor says automate service operations, invoice verification and FM decision-making. Vendor cites figures such as 80% less manual data entry and <24-hour average work-order resolution (vendor claims, not verified). Re-checked Oct 19, 2026: unchanged in substance (Atom Suite of AI agents for service operations, invoice verification and FM decisions; 80% and under-24-hour figures are vendor claims). Re-checked Oct 21, 2026: the homepage now calls Facilio an agentic AI platform for facilities management and names the Atom agents: service intake, service dispatch, vendor coordination, invoice processing, building compliance, procurement and sourcing, reporting, and alarm and fault triage. It also lists Mira, a helpdesk AI for service request intake, routing, dispatch coordination and emergency escalation across calls, chat, WhatsApp and email; IoT Edge software for BMS integration and equipment telemetry; and Facilio Studio, where its engineers build custom agents and apps. The page's one billion+ square feet, 80% of calls handled by AI and 4x faster dispatch figures are vendor claims, not verified.AI-powered CMMS and enterprise asset management software for work orders, preventive maintenance, parts and inspections. Features listed: work orders, preventive and predictive maintenance, parts inventory, checklists and inspections, IoT and industrial controls data, reporting, and AI features that troubleshoot from manuals/procedures/work history, assist summaries and natural-language analytics, detect anomalies, and estimate work time. Site banner says MaintainX joins Autodesk. MaintainX Assist is listed on the Enterprise plan. Industries include manufacturing, building materials, facility management, and property management. Re-checked Oct 19, 2026: homepage unchanged in substance (AI troubleshooting from manuals and work history, AI-assisted summaries and natural-language analytics, anomaly detection); the banner still says MaintainX joins Autodesk.

Pricing (as publicly stated)Not publicly listed. Pricing page (re-checked Oct 16, 2026) still lists tiered Standard, Essential and Enterprise plans for CMMS, building operations and refrigeration compliance, tailored by portfolio size, users and deployment scope, each with Request a custom quote; no prices shown. (The page's ROI calculator is a savings estimate, not a price.) Earlier note (Oct 15, 2026): Not publicly listed (tiered Standard / Essential / Enterprise by portfolio size, users and deployment scope; quote form on pricing page). Re-checked Oct 17, 2026: unchanged. Re-checked Oct 19, 2026: unchanged. (Standard, Essential and Enterprise, each Request a custom quote). Re-checked Oct 21, 2026: unchanged (Standard, Essential and Enterprise, each Request a custom quote, tailored by portfolio size, users and deployment scope).Basic free forever (limited work orders with attached procedures and repeating work orders). Essential $20/user/month billed annually ($25 monthly). Premium $65/user/month billed annually ($75 monthly). Enterprise custom pricing. Requester accounts free. Correction: our Oct 15, 2026 note recorded Premium and Enterprise as quote/sales, which was wrong for Premium (an archived Sept 22, 2026 copy of the pricing page already lists it at $65 annual / $75 monthly); only Enterprise is custom (Premium adds unlimited work orders with attached procedures, analytics, meter-based maintenance, parts/PO, REST API; Enterprise adds multi-site, SSO, IoT, MaintainX Assist). Re-checked Oct 17, 2026: the pricing page lists Premium at $65 per user/month billed annually ($75 billed monthly), with unlimited work orders with attached procedures, unlimited Advanced Analytics, meter-based maintenance, purchase order management and open REST API access; Enterprise is "Custom pricing" (adds IoT sensor integrations, SSO, multi-site tools, Global Procedures, MaintainX Assist, Asset Health Insights and Resource Planning). The page defines a user as someone with a unique login and says requester accounts are free. Basic (free) and Essential ($20 annual / $25 monthly) unchanged. Re-checked Oct 19, 2026: unchanged (Basic $0, Essential $20 annual / $25 monthly, Premium $65 annual / $75 monthly per user, Enterprise custom with MaintainX Assist; requester accounts free). Re-checked Oct 21, 2026: unchanged (Basic $0, Essential $20 annual / $25 monthly, Premium $65 annual / $75 monthly per user, Enterprise custom; requester accounts free). The Premium card now also lists time and cost tracking, a dedicated account manager and external work orders, and Enterprise lists Report Builder; the plan table's AI rows name AI-powered procedure generation, anomaly detection, smart time estimates and MaintainX Assist.

  • Core CMMS: both cover work orders, preventive maintenance, assets, inspections, parts or inventory and reporting. Facilio's plans add tenant and stakeholder portals, procurement workflows and, on Enterprise, vendor management with RFQs. MaintainX's plans add meter-based maintenance, purchase orders, time and cost tracking and an open REST API on Premium, and multi-site tools, SSO and IoT sensor integrations on Enterprise.
  • AI: Facilio's homepage lists Atom, a suite of AI agents (service intake, service dispatch, vendor coordination, invoice processing, building compliance, procurement and sourcing, reporting, and alarm and fault triage), plus Mira, a helpdesk AI for request intake, routing, dispatch and emergency escalation across calls, chat, WhatsApp and email; Facilio Studio builds custom agents and apps for a customer's workflows. MaintainX lists AI that turns manuals, procedures and work history into troubleshooting recommendations, AI-assisted summaries and natural-language analytics, anomaly detection and work-time estimates, with MaintainX Assist on the Enterprise plan.
  • Buildings and equipment data: Facilio's Connected Buildings covers portfolio energy and building performance with IoT, Connected Refrigeration covers leak detection and refrigerant compliance, and its IoT Edge software lists BMS integration and equipment telemetry. MaintainX lists industrial controls and IoT data collection and IoT sensor integrations on Enterprise.
  • Pricing (checked Oct 21, 2026): Facilio lists Standard, Essential and Enterprise plans for CMMS, building operations and refrigeration compliance, each Request a custom quote, tailored by portfolio size, users and deployment scope.
