Record360 vs Samsara

Two tools that both put photo-backed inspections on a phone, from different starting points. Record360 is inspection software for heavy equipment, truck and trailer and auto rental, built around check-out and return condition records, with 360AI flagging possible damage as photos are taken. Samsara is a connected-operations platform (GPS telematics, AI dash cams, equipment monitoring, worker safety) whose DVIR product uses AI to check driver inspection photos and location. Not a like-for-like pair: inspections are the whole of Record360 and one module of Samsara. Desk research from vendor pages read Oct 30, 2026; not tested, no winner.

What it doesMobile inspection software for equipment, trucking and auto, with photo-backed check-out and return reports and 360AI damage flagging. It offers guided digital checklists (including DOT checklists) with required photos, signatures and fields, offline capture, time-stamped and geo-located photo/video evidence, e-signed check-out and return reports sent to all parties, asset condition history with side-by-side photo comparison, and rule-based task automation that turns inspection results into repairs or work orders. 360AI is described as using visual heatmaps to flag possible glass, tire and body damage as photos are taken, with the vendor saying "AI-assisted. Human-approved." It says records flow into the customer's rental management system. The homepage cites a Komatsu West result of $500K+ saved on damage disputes (vendor-published customer claim, not verified). Re-read Oct 18, 2026: the 360AI page adds blurry-photo checks, VIN, plate and barcode scanning, voice-to-field capture and a Smart Review queue where a person confirms each AI flag; it says 360AI is included in the applicable plan with no per-scan fees and that Professional customers get new AI releases first. The pricing FAQ says most teams are live in about one week and that inspections work offline and sync on reconnect. Where the vendor descriptions differ

  • What each covers (vendor pages): Record360 lists guided checklists (including DOT checklists) with required photos, signatures and fields, offline capture that syncs on reconnect, e-signed check-out and return reports, asset condition history and tasks or work orders triggered from inspection results. Samsara's construction page lists vehicles, heavy equipment and unpowered assets in one dashboard, OEM integrations including CAT, John Deere, Komatsu, Ford and Volvo, AI dash cams, asset tags, utilization reporting, maintenance and fault-code alerts and a worker-safety wearable, with a section on rental and dealer operations.
  • Inspections: Samsara's DVIR page says AI checks that drivers are near the vehicle during the inspection and that submitted photos show actual vehicle components, and lists voice transcription, work order creation, automatic DVIR resolution and customizable inspections. Record360 is built around condition documentation at each hand-off, with time-stamped evidence and e-signatures from the customer or driver.
  • Where AI fits: Record360's 360AI flags possible glass, tire and body damage with heatmaps as photos are taken and adds blur detection, Smart Scan (VIN, plate or barcode), Voice Inspect and a Smart Review queue where a person confirms each flag; its plan table puts Smart Scan in Basic, Standard and Professional, blur and mobile damage detection in Standard and Professional, and Smart Review and Voice Inspect in Professional only. Samsara's AI page describes Samsara Assistant, Agent Studio and Samsara MCP across the wider platform (vendor descriptions).
  • Pricing (checked Oct 30, 2026): neither publishes figures. Record360's pricing page is a personalized-quote form (industry, number of locations) and says 360AI is included in the applicable plan with no per-scan fees. Samsara's pricing page opens a questionnaire that starts with how many vehicles or assets you have and shows no prices.
  • Not used here: Record360's dispute-reduction figure and Samsara's review ratings, customer quotes and savings figures (vendor content). Neither tool has been tested by Means & Methods Lab.

Questions to ask in your review

  • Whether you need check-out and return condition records for rented or shared equipment (Record360) or inspections inside a telematics and dash cam platform you may already run (Samsara)
  • How well either tool's AI flags real damage or bad inspections on your own equipment
  • What you actually pay, and on what basis (neither publishes full prices)
  • What did you use it for, on what kind of work and project size?
  • How long did setup and training take, and who on your team did it?
  • What does it cost you in practice, compared with what the sales call said?
