Questions to ask before a workforce planning or staffing pilot

A checklist for a first conversation with a workforce, staffing, compliance or site-access vendor. These are our suggestions, drawn from our workforce-planning category hub and our workforce roundup. They are not findings: Means & Methods Lab has not tested any tool. Nothing here is HR, immigration, union or safety advice. Where a question mentions a vendor, it points to something that vendor publishes.

SUGGESTIONS, NOT FINDINGS. No tool has been tested by Means & Methods Lab. Vendor facts are desk research from vendor websites and are not verified. Updated 2026-10-15.

The questions (6)

  1. Q01Which of the four jobs are you buying: planning, day-of dispatch, compliance, or presence/access?

WHY IT MATTERS · Bridgit and Procore Resource Planning describe portfolio staffing. Assignar describes day-of crews and plant. HammerTech and SafetyClerk describe safety compliance. WakeCap, Kwant and Eyrus describe presence and access hardware.

WHAT TO ASK · Write the primary job on the RFP cover before demos start, and score each vendor only on that job first.

  2. Q02Where does the person record live, and what syncs both ways?

WHY IT MATTERS · Procore Resource Planning syncs people and projects with the Procore directory and lists HRIS/ERP integrations. Bridgit describes skills, certifications and availability in Bench. HR Duo stores employees and subcontractors with certifications and right-to-work checks.

WHAT TO ASK · Ask for a written sync map: create, update, deactivate, and who wins on a conflict.

  3. Q03Can it refuse an assignment or a gate entry when a ticket is expired?

WHY IT MATTERS · Assignar describes scheduling only compliant workers and expiry alerts. Eyrus and Kwant describe access control tied to registration and certifications. SafetyClerk centers on signed safety documents before site work.

WHAT TO ASK · Ask them to demo a worker with an expired certification trying to get on tomorrow's crew or through the turnstile.

  4. Q04How does presence or time data get to payroll?

WHY IT MATTERS · Eyrus says it automatically creates timesheets for common payroll systems. Assignar syncs field data to accounting/ERP. HR Duo connects approved attendance to payroll reporting or in-platform payroll. Procore lists ExakTime among integrations.

WHAT TO ASK · Ask to see one closed day's export in the format your payroll team already uses, including prevailing-wage or union fields if you need them.

  5. Q05If it recommends people, can you see why—and can you override and log it?

WHY IT MATTERS · Procore lists SmartBench ranked suggestions by availability, distance, skill and tag. Bridgit describes AI answers and agents that act on approved recommendations. Crewscope's AI structures field texts into logs and lookaheads.

WHAT TO ASK · Ask whether every suggestion and override is retained for audit, and whether customer data trains the model.

  6. Q06What hardware, SMS or app burden hits the craft worker on day one?

WHY IT MATTERS · WakeCap centers on connected hard hats; Kwant and Eyrus on badges, facial recognition or turnstiles; Crewscope says no app, just text; Assignar and HR Duo use mobile apps for clock-in and forms.

WHAT TO ASK · Count devices, accounts and training minutes per worker, and ask what happens offline or when a phone is shared.
