Questions to ask before an equipment, fleet or machine-control AI pilot

A checklist for a first conversation with an equipment, fleet or machine-control vendor. These are our suggestions, drawn from our equipment & fleet category and our equipment managers' AI roundup. They are not findings: Means & Methods Lab has not tested any tool. Where a question mentions a vendor, it points to something that vendor publishes.

SUGGESTIONS, NOT FINDINGS. No tool has been tested by Means & Methods Lab. Vendor facts are desk research from vendor websites and are not verified. Updated 2026-10-16.

The questions (7)

  1. Q01Is the AI doing something your telematics does not already do?

WHY IT MATTERS · Location, hours, geofences and fault codes are plain telematics. Vendor-described AI on top includes Tenna's ML load counting, Trackunit's IrisX assistant and MCP, Samsara's Assistant and Agent Studio, Tenderd's AI-powered positioning (AI incident detection and allocation per our Oct 14 listing), and Record360's 360AI damage flags. EquipmentShare T3, Hilti ON!Track and Komatsu Smart Construction pages we read do not describe AI.

WHAT TO ASK · Ask the vendor to point to the one screen where the AI changes a decision, and what you would see without it.

  2. Q02Which machines report today, and through what: your OEM feeds, their hardware, or both?

WHY IT MATTERS · Tenna sells its own trackers and integrates OEM telematics; Trackunit lists mixed-fleet and OEM plans; Tenderd lists mixed-fleet telematics; Hilti says ON!Track is manufacturer-independent; Komatsu Guidance Flex collects as-built data from any machine.

WHAT TO ASK · Bring your asset list by make, model and year and ask them to mark each one: native feed, add-on hardware, or not supported.

  3. Q03For load or production counts, how is a counted load reconciled to haul and scale tickets?

WHY IT MATTERS · Tenna says Load Tracking recognizes loading, queuing and dumping from telematics; Komatsu lists a Fleet app for load tracking and a Dashboard that confirms quantities against design. Neither page publishes an accuracy figure.

WHAT TO ASK · Pick one week of tickets on one spread and ask for a side-by-side of counted vs ticketed loads before you sign.

  4. Q04When an alert fires (fault code, harsh event, damage flag), who gets it and who has to act?

WHY IT MATTERS · Samsara and EquipmentShare T3 list in-cab dash-cam alerts; Record360 says 360AI flags damage and "your team makes the final call"; Trackunit IrisX MCP says users can trigger alerts and update records in the same conversation.

WHAT TO ASK · Ask which actions an assistant or agent can take without a human approving them, and how to turn that off.

  5. Q05Does the tool replace your maintenance or parts system, or feed it?

WHY IT MATTERS · Tenna, Tenderd and Trackunit list maintenance features; Gearflow handles parts and service requests and says it integrates with existing fleet systems; Record360 turns inspection results into work orders. Overlap is common.

WHAT TO ASK · Name your current equipment/ERP system on the call and ask for a live integration or field map, not a roadmap slide.

  6. Q06If you rent, who owns the data: you, the rental house, or the platform?

WHY IT MATTERS · EquipmentShare positions T3 as running its own rental fleet; Record360 says inspection records flow into a rental company's RMS; Trackunit lists rental plans.

WHAT TO ASK · Ask what happens to telematics and inspection history for a rented machine when it goes off rent.

  7. Q07For machine control or autonomy, what does the field crew actually change?

WHY IT MATTERS · Komatsu lists 3D Machine Guidance, Intelligent Machine Control and design-file prep; our separate equipment autonomy roundup covers Built Robotics, Bedrock Robotics and Pronto, whose offers are task-specific.

WHAT TO ASK · Ask who builds and loads the design surface, who supports the operator on day one, and what the fallback is when GNSS drops.
