Questions to ask before a procurement or materials AI pilot

A checklist for a first conversation with a procurement, materials management or delivery logistics vendor. These are our suggestions, drawn from our materials and supply chain category hub and our procurement roundup. They are not findings: Means & Methods Lab has not tested any tool. Where a question mentions a vendor, it points to something that vendor publishes.

SUGGESTIONS, NOT FINDINGS. No tool has been tested by Means & Methods Lab. Vendor facts are desk research from vendor websites and are not verified. Updated 2026-10-15.

The questions (7)

  1. Q01Which hand-off are you buying for: RFQs and leveling, PO and invoice matching, price tracking, delivery, or supplier quoting?

WHY IT MATTERS · Field Materials lists RFQs, quote leveling, POs, delivery records, AP and pricing intelligence. Kojo centers on requisitions, purchasing, inventory and AP invoice matching. ProcurePro centers on subcontract packages. Tread and Curri are delivery. Parspec and Andercore sit at the supplier.

WHAT TO ASK · Write the one hand-off you will measure on the pilot charter before demos start.

  2. Q02Will it read our suppliers' real quotes, not a clean sample?

WHY IT MATTERS · Field Materials says AI matches quote PDFs to RFQ lines and offers pre-trained agents for quote types such as switchgear and HVAC. ProcurePro's BidLevel reads PDF and Excel quotes and lets you trace each value to the source; its FAQ calls the output a first pass that needs human judgement.

WHAT TO ASK · Send three real quotes in advance (one scanned, one with alternates, one with exclusions buried in notes) and ask for a live run.

  3. Q03How does it handle a short-ship, a substitution or a price change on the invoice?

WHY IT MATTERS · Field Materials describes delivery-slip-to-PO matching and AI 3-way invoice validation. Kojo describes matching invoices to POs and delivery slips to flag discrepancies.

WHAT TO ASK · Bring one delivery slip with a short-ship and one invoice with a changed unit price, and watch what gets flagged and who is asked to approve.

  4. Q04Who owns the PO, vendor and cost code: your ERP or the tool?

WHY IT MATTERS · Field Materials lists integrations with Procore, CMiC, Foundation, Sage, Viewpoint, QuickBooks and others and says approved invoices post to the ERP. ProcurePro lists Procore, Aconex, DocuSign and Viewpoint Jobpac among its integrations.

WHAT TO ASK · Ask for a written sync map: what is created where, what syncs back, and who wins on a conflict.

  5. Q05Where does price history come from, and how long until it is useful?

WHY IT MATTERS · Field Materials' pricing intelligence reads prices from your quotes, invoices and receipts. ProcurePro's AI Pricing Library searches your historical quotes and trade packages. Neither describes a public market price index on the pages we read.

WHAT TO ASK · Ask whether past jobs can be back-loaded on day one and how many months of data the vendor's other customers needed before benchmarks were trusted.

  6. Q06For deliveries and tickets, what does the driver or supplier have to do?

WHY IT MATTERS · Tread says drivers upload ticket photos in its app or by text, and lists scale-ticket integrations with WEM, Astec and Command Alkon APEX. Field Materials says it is free for vendors to use.

WHAT TO ASK · Ask what happens when a third-party hauler or a small supplier will not install anything, and how a paper ticket still gets matched.

  7. Q07Is our pricing data used to train models or shared with other customers?

WHY IT MATTERS · ProcurePro's BidLevel FAQ says customer data is not used to train public AI models. Parspec says customer and pricing data are never shared with third parties. Check each vendor's policy in writing.

WHAT TO ASK · Ask for the data-processing terms and whether supplier pricing you upload is ever pooled into benchmarks shown to others.
