Questions to ask before a bid-leveling or bid-day AI pilot

A checklist for a first conversation with a bid management or bid-leveling vendor. These are our suggestions, drawn from our bid management category and our bid-day roundup. They are not findings: Means & Methods Lab has not tested any tool. Where a question mentions a vendor, it points to something that vendor publishes.

SUGGESTIONS, NOT FINDINGS. No tool has been tested by Means & Methods Lab. Vendor facts are desk research from vendor websites and are not verified. Updated 2026-10-16.

The questions (7)

  1. Q01Is the leveling done by AI, or is it a side-by-side table you fill in?

WHY IT MATTERS · Procore, SmartBid (BidTabs) and PreconSuite list side-by-side bid comparison; the pages we read do not describe AI doing the extraction. ProcurePro's BidLevel and Buildr describe AI reading quotes or catching scope gaps; Trunk Tools says TrunkBid maps sub bids against your scope.

WHAT TO ASK · Ask them to level one of your real packages live, starting from the subs' PDFs, not from numbers already typed in.

  2. Q02How does it match scope lines that subs describe differently?

WHY IT MATTERS · BidLevel says you can set the breakdown from its own extraction or paste your scope, BOQ or budget as the structure, and trace values back to the PDF. PreconSuite lists identifying scope differences with plug numbers and overrides.

WHAT TO ASK · Bring a package where two subs split the scope differently and ask how a missing item shows up.

  3. Q03How are exclusions, qualifications and alternates captured?

WHY IT MATTERS · BidLevel lists inclusions and exclusions per quote; Buildr says leveling catches scope gaps and exclusions and compares alternates. No vendor here publishes an accuracy figure.

WHAT TO ASK · Ask whether a buried exclusion on page 3 of a quote gets flagged, and who signs off before the number moves.

  4. Q04Where does the leveled number go next?

WHY IT MATTERS · Procore says bids convert to contracts that update the budget; SmartBid lists a Procore integration for the hand-off; PreconSuite lists HCSS and Procore; Buildr turns approved budget lines into bid packages.

WHAT TO ASK · Name your estimating and project-management systems and ask for a live hand-off, not a roadmap slide.

  5. Q05What does prequalification actually check?

WHY IT MATTERS · SmartBid lists ConsensusDocs 721; Pantera lists ProQual; Procore lists subcontractor risk analysis; Autodesk says TradeTapp uses AI to extract PDF financial statements into structured data.

WHAT TO ASK · Ask what happens when a sub's prequal expires mid-bid, and who reviews AI-extracted financials.

  6. Q06If you are a subcontractor, how do invites from outside the platform get handled?

WHY IT MATTERS · Autodesk says Bid Forwarding pulls details from invitations received outside BuildingConnected into Bid Board Pro; SmartBid says invited subs get access at no cost; PreconSuite lists sub-side invite tracking with a shared bid calendar; Downtobid lists a bid board for subs (per our Oct 15 listing).

WHAT TO ASK · Forward three real ITBs from different GCs and check what lands correctly: due date, scope, documents and addenda.

  7. Q07Is your bid data used to train models, and who can see your sub list?

WHY IT MATTERS · BidLevel's FAQ says customer data is not used to train public AI models; Autodesk points to its Trust Center for which features use training data; PreconSuite says your database is never shared; Pantera says GCs can keep sub networks private.

WHAT TO ASK · Get the answer in writing, including what happens to quotes and sub pricing after you leave.
