eSUB vs Trimble Pay

Two pay-app tools that sit on opposite sides of the subcontractor billing exchange (our reading). eSUB is project management software built for commercial trade subcontractors, and its Progress Billing module builds the schedule of values and generates the AIA G702/G703 pay applications a sub sends to its GCs. Trimble Pay (formerly Flashtract) is bought by the general contractor to collect AIA pay apps, lien waivers and compliance documents from its subs and pay them; subs invited by a GC use it free. Neither vendor page describes AI features. Desk research from vendor pages read Oct 24, 2026; not tested, no winner.

What it doesCloud and mobile project management platform built for commercial subcontractors, with daily reports, T&M tickets, change orders and billing. Trades named include electrical, HVAC, concrete, mechanical, masonry, plumbing and structural steel. Lists daily reports, time and materials (T&M) tickets with customer signatures captured on a tablet or phone and tied to change orders, change order tracking with lump-sum or category-based quotes and line items, custom access permissions, progress billing, purchase orders, job costing, RFIs, submittals, field notes, drawings and document control, plus a QuickBooks Online integration. Also promotes Fusion by eSUB, a connected jobsite tool linking field staff to the back office and GCs. Homepage cites 29% productivity, 47% less rework and 25% more change order revenue based on a 2023 survey of its customers (vendor claims). The pages we read do not describe AI features. Re-checked Oct 19, 2026: the homepage is unchanged in substance (Fusion by eSUB, the QuickBooks Online integration and the 2023 customer-survey figures); still no AI described. Re-checked Oct 20, 2026: the homepage is unchanged in substance (Fusion by eSUB, the QuickBooks Online integration and the 2023 customer-survey figures; still no AI described). The T&M page also describes a centralized log of ticket status, total costs and related change orders across projects, photo and document attachments, and tickets that sync to the office. Re-checked Oct 22, 2026: the homepage, change order and T&M pages are unchanged in substance (built exclusively for commercial subcontractors; Fusion by eSUB; daily reports, RFIs, submittals, field notes, purchase orders; QuickBooks Online integration; the 2023 customer-survey figures and customer quotes are vendor material). Still no AI described. Re-checked Oct 24, 2026: the homepage, change order and T&M pages are unchanged in substance (Fusion by eSUB; QuickBooks Online integration; lump sum or category-based change order quotes; T&M tickets with customer signatures, photo attachments and a centralized log; the 2023 customer-survey figures are vendor material). We also read the Progress Billing page (Oct 24, 2026): it describes a schedule of values tied to contract value that updates as change orders are approved, percent-complete, work-in-place, stored-materials and retainage calculations by line item, AIA G702/G703 pay applications generated from the SOV (or built manually), and a dashboard of billed, approved, outstanding and disputed amounts across projects. Still no AI described.Trimble's subcontractor billing and payment product for pay apps, lien waivers and compliance. Trimble says it is formerly Flashtract and part of Trimble Construction One (flashtract.com/pricing now redirects to the Trimble Pay page). Lists collecting AIA pay apps from subcontractors and automatically checking them for accuracy, unconditional lien waivers held in escrow until payment, compliance tracking with expiration dates, secure payments with approvals, holds and reviews, and subcontractor/vendor lien risk management. The legacy Flashtract homepage also lists 2nd-tier and vendor waivers, fully managed ACH and blocking pay apps with unapproved change orders or math errors, and cites 12,000+ users in its network (vendor claim). Integrations listed: CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista. A Journey Group case study cites pay app processing time cut in half (vendor-published case study). The pages we read do not describe AI. Re-checked Oct 19, 2026: the Trimble Pay FAQ says Flashtract joined Trimble in 2024, that Trimble Pay is free for subcontractors submitting documents when invited by a primary contractor, and that it calculates subcontractor billing amounts automatically once subs enter labor and material costs, with pay apps and lien waivers approved in one click. Still no AI described. Re-checked Oct 21, 2026: the product page still describes escrowed unconditional lien waivers, AIA pay app collection with automatic accuracy checks, compliance tracking and integrations with CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista; still no AI described. The FAQ answers did not render in the page text we read today, so the free-for-invited-subcontractors line was not re-confirmed. Re-checked Oct 22, 2026: product page unchanged in substance (escrowed unconditional lien waivers, AIA pay app collection with automatic accuracy checks, compliance tracking, secure payments with approvals, holds and reviews; integrations with CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista; still no AI described). The FAQ rendered today and again says Trimble Pay is free for subcontractors submitting documents when invited by a primary contractor, and that paper-check payment preferences are supported. Re-checked Oct 24, 2026: product page and FAQ unchanged in substance (escrowed unconditional lien waivers, AIA pay app collection with automatic accuracy checks, compliance and expiration-date tracking, payments with approvals, holds and reviews; integrations with CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista; the FAQ says Flashtract joined Trimble in 2024, that Trimble Pay runs in a browser, and that it is free for subcontractors submitting documents when invited by a primary contractor). Still no AI described. Customer quotes and the case-study processing-time figure are vendor material and not used.

Where the vendor descriptions differ

  • Who it is for (vendor pages): eSUB says it is not a general contractor tool and is built for commercial trade subcontractors (electrical, mechanical, plumbing, concrete, drywall and other specialty trades), with daily reports, RFIs, submittals, field notes, T&M tickets, change orders, purchase orders, job costing and progress billing. Trimble Pay describes subcontractor billing management for the party paying subs: collecting AIA pay apps, exchanging unconditional lien waivers held in escrow, tracking subcontractor compliance and expiration dates, and sending payments with approvals, holds and reviews.
  • Billing workflow: eSUB's Progress Billing page describes a schedule of values tied to contract value that updates as change orders are approved, percent-complete, work-in-place, stored-materials and retainage calculations by line item, G702/G703 pay apps generated from the SOV (or built manually), and a dashboard of billed, approved, outstanding and disputed amounts. Trimble Pay's FAQ says it calculates subcontractor billing amounts automatically once subs enter labor and material costs, checks submitted pay apps for accuracy, and stores pay apps and lien waivers in one place for one-click approval.
  • Change orders and T&M: eSUB lists change order tracking with lump sum or category-based quotes and line items, and T&M tickets with labor, materials, equipment, customer signatures on a tablet or phone, and references to related change orders. The Trimble Pay page we read covers billing, waivers, compliance and payments, not change order or T&M capture.
  • Connections: eSUB names a QuickBooks Online integration. Trimble Pay names CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista, says it is part of Trimble Construction One (Flashtract joined Trimble in 2024) and runs in a browser with nothing to download.
  • Where the AI sits: neither page describes AI features; the automation both describe is calculation and approval workflow (our reading).
  • Pricing (checked Oct 24, 2026): neither publishes prices. eSUB routes to a demo (esub.com/pricing returns 404). Trimble Pay is a demo request for general contractors, and its FAQ says it is free for subcontractors submitting documents when invited by a primary contractor.
  • Using both: a sub that bills from eSUB may still be asked to submit through a GC's Trimble Pay portal. Neither page we read describes a direct eSUB to Trimble Pay connection, so ask both vendors.
  • Not used here: eSUB's 2023 customer-survey productivity, rework and change-order revenue figures, Trimble Pay's case-study processing-time figure, and both vendors' customer quotes. Neither tool has been tested by Means & Methods Lab.

Questions to ask in your review

  • What eSUB costs for your user count and modules
  • What Trimble Pay costs a general contractor for your project and subcontractor volume
  • Whether your GCs require a specific pay-app portal, and how pay apps built in eSUB get into it
  • What did you use it for, on what kind of work and project size?
  • How long did setup and training take, and who on your team did it?
  • What does it cost you in practice, compared with what the sales call said?
