Siteline vs Trimble Pay

Two pay app and lien waiver tools built from opposite sides of the same payment. Siteline is billing software for subcontractors: it builds each month's pay app on every GC's own forms, submits it by email or GC portal, and tracks waivers, compliance documents, change orders and collections. Trimble Pay (formerly Flashtract) is built for general contractors collecting AIA pay apps, lien waivers and compliance documents from their subs and paying them, and is free for subs a GC invites. Vendor pages read Oct 22, 2026; desk research, not tested, no winner.

AI role (our label)Not AI-firstNot AI-first
What it doesBilling software for subcontractors that builds pay apps on each GC's exact forms and tracks compliance documents, change orders and lien waivers. It also covers lien waiver generation and collection, A/R reporting, cash-flow forecasts, collections, and lien rights deadlines. Integrates with accounting systems and GC payment portals. Vendor says it has digitized 23,000+ forms from 17,000+ GCs and cites getting paid 3 weeks faster (vendor claims). The homepage does not describe AI, so we tag it Not AI-first; its pricing page (re-checked Oct 16, 2026) does list "AI vendor waiver validation for incorrect forms, amounts, or dates" as a feature of the Siteline Suite and of its vendor-compliance package. Re-read Oct 16, 2026: homepage now promotes a new Lien Rights Management product, says subcontractors have billed over $14B across 250k+ projects with Siteline, and cites 3 weeks paid faster, 7 days saved per month, 6x faster billing and 50% fewer pay app revisions (vendor claims). The pricing quote form asks how many lump sum, unit price and/or T&M projects you bill per month and which ERP you use (Sage, Vista, Spectrum, QuickBooks and others listed). Re-read Oct 17, 2026: homepage and pricing page unchanged in substance (subcontractor-only billing; AI vendor waiver validation listed on the pricing page; unlimited users and offices in every package). Re-checked Oct 19, 2026: unchanged in substance. The pricing page still lists AI vendor waiver validation in the Siteline Suite and Vendor Management packages, and describes Vendor Management as for subcontractors or GCs that want a focused vendor-compliance and lien-waiver tool; billing itself is still built for subcontractors. The homepage still describes no AI, so the tag stays. Re-checked Oct 20, 2026: homepage and pricing page unchanged in substance (subcontractor billing; AI vendor waiver validation still listed in both packages; the homepage still describes no AI). The pricing page details the Lien Rights Management add-on (state-specific lien deadlines, lien protection status per project, notices generated from project data and sent by certified mail from Siteline), says most customers are up and running within two weeks, and its FAQ names Textura, GCPay and Procore Pay among the GC payment portals Siteline integrates with. Re-checked Oct 22, 2026: homepage and pricing page unchanged in substance (subcontractor billing on each GC's forms; AI vendor waiver validation still listed in the Siteline Suite and Vendor Management packages; the homepage still describes no AI, so the tag stays). The quote form now starts by asking company type (subcontractor, general contractor or other) and whether you do commercial work, and the solutions menu has a General Contractors entry for lien waiver and vendor compliance automation. Outcome figures and customer quotes not repeated.Trimble's subcontractor billing and payment product for pay apps, lien waivers and compliance. Trimble says it is formerly Flashtract and part of Trimble Construction One (flashtract.com/pricing now redirects to the Trimble Pay page). Lists collecting AIA pay apps from subcontractors and automatically checking them for accuracy, unconditional lien waivers held in escrow until payment, compliance tracking with expiration dates, secure payments with approvals, holds and reviews, and subcontractor/vendor lien risk management. The legacy Flashtract homepage also lists 2nd-tier and vendor waivers, fully managed ACH and blocking pay apps with unapproved change orders or math errors, and cites 12,000+ users in its network (vendor claim). Integrations listed: CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista. A Journey Group case study cites pay app processing time cut in half (vendor-published case study). The pages we read do not describe AI. Re-checked Oct 19, 2026: the Trimble Pay FAQ says Flashtract joined Trimble in 2024, that Trimble Pay is free for subcontractors submitting documents when invited by a primary contractor, and that it calculates subcontractor billing amounts automatically once subs enter labor and material costs, with pay apps and lien waivers approved in one click. Still no AI described. Re-checked Oct 21, 2026: the product page still describes escrowed unconditional lien waivers, AIA pay app collection with automatic accuracy checks, compliance tracking and integrations with CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista; still no AI described. The FAQ answers did not render in the page text we read today, so the free-for-invited-subcontractors line was not re-confirmed. Re-checked Oct 22, 2026: product page unchanged in substance (escrowed unconditional lien waivers, AIA pay app collection with automatic accuracy checks, compliance tracking, secure payments with approvals, holds and reviews; integrations with CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista; still no AI described). The FAQ rendered today and again says Trimble Pay is free for subcontractors submitting documents when invited by a primary contractor, and that paper-check payment preferences are supported.

Where the vendor descriptions differ

  • Whose side: Siteline says it is for subcontractors and that GC payment portals are built for the GC side of the workflow; its Vendor Management package is offered to subcontractors or GCs that want a focused lower-tier waiver and compliance tool. Trimble Pay's pages are written for general contractors (collect pay apps, check them, hold waivers, pay subs), and its FAQ says subs use it free when a primary contractor invites them.
  • Pay apps: Siteline digitizes each GC's forms, creates and customizes pay apps with digital signatures, submits them by email or GC portal, and logs pending change orders. Trimble Pay collects AIA pay apps from subs, checks them for accuracy and, per its FAQ, calculates billing amounts once subs enter labor and material costs, with one-click approval; the legacy Flashtract page describes blocking pay apps with unapproved change orders or math errors.
  • Lien waivers and payment: Siteline creates, submits and tracks primary and vendor lien waivers, tracks COIs, W-9s and licenses, and sells a Lien Rights Management add-on that tracks state lien deadlines and sends notices by certified mail. Trimble Pay holds unconditional waivers in escrow until payment, tracks sub compliance and expiration dates, generates 2nd-tier and vendor waivers, and sends payments with approvals and holds (ACH, with paper checks still supported).
  • AI: Siteline's pricing page lists AI vendor waiver validation for incorrect forms, amounts or dates; its homepage describes no other AI. The Trimble Pay pages read describe no AI. Both are tagged Not AI-first here.
  • Systems: Siteline's FAQ names Textura, GCPay and Procore Pay among the GC portals it submits to (Trimble Pay is not named on the pages read), and its quote form asks which ERP you use (Sage, Vista, Spectrum, QuickBooks, Foundation, CMiC, NetSuite and others). Trimble Pay is part of Trimble Construction One and lists CMiC, Procore, Sage 300, Trimble Spectrum and Trimble Vista integrations.
  • Pricing (checked Oct 22, 2026): neither publishes figures. Siteline quotes by product usage, billing volume and integration needs, with unlimited users and offices and no per-seat or location fees, and says most customers are live within two weeks. Trimble Pay is request-a-demo for GCs and free for invited subcontractors.
  • Not used here: Siteline's paid-faster, billing-speed, days-saved and aging figures and customer quotes, and Trimble Pay's Journey Group case-study figure, testimonials and Flashtract hours-saved claim (vendor material). Neither tool has been tested by Means & Methods Lab.
