Questions to ask before a spec review AI pilot
A checklist for a first conversation with a vendor whose tool reads specifications. These are our suggestions, drawn from our contract, document and drawing review category and our construction specifications roundup. They are not findings: Means & Methods Lab has not tested any tool. Where a question mentions a vendor, it points to something that vendor publishes.
The questions (7)
Q01Which spec-vs-drawing conflicts does it actually look for?
WHY IT MATTERS · Helonic publishes a list (materials, schedules vs spec sections, fire ratings, acoustics, missing sections, Division 01 requirements); InspectMind lists spec-vs-drawing contradictions; Buildcheck lists spec-to-drawing conflicts; Specset says it cross-references every section against every sheet.
WHAT TO ASK · Run a past project where you already know which conflicts became RFIs, and count hits and false alarms.
Q02How does it handle addenda, bulletins and special provisions?
WHY IT MATTERS · Specset says it merges special provisions into the standard specs they amend and attributes addenda and RFI answers paragraph by paragraph; AutoSpecs compares spec versions side by side.
WHAT TO ASK · Give it the base spec plus two addenda and check that a superseded paragraph is not flagged as current.
Q03Can it read your format, including a DOT book or UFGS?
WHY IT MATTERS · Helonic lists CSI MasterFormat, the 16-division format and SectionFormat; Specset names Caltrans, WSDOT, FDOT, UFGS and BNSF formats in production.
WHAT TO ASK · Bring the ugliest spec you bid last year (scanned, non-standard, or a state DOT book) rather than a clean MasterSpec manual.
Q04Does it check a submittal against the spec, or only build the log?
WHY IT MATTERS · AutoSpecs describes building the log and suggesting missing items; Trunk Tools, Nomic and Specset describe checking submittal packages against specs; Part3 lists AI spec comparisons for the architect reviewing.
WHAT TO ASK · Run one submittal you know was rejected and see whether the tool finds the reason.
Q05Who verifies findings before you see them, and who decides which document governs?
WHY IT MATTERS · Specset says a second agent tries to disprove each finding; Buildcheck says every review includes expert-in-the-loop verification; Helonic says the spec writer decides; InspectMind says AI findings can be wrong or incomplete.
WHAT TO ASK · Ask the vendor to show a finding it withdrew, and remember order of precedence is a contract question.
Q06Are your specs and drawings used to train anything?
WHY IT MATTERS · RIB's SpecLink.AI page states prompts and outputs are not used to train OpenAI models; Specset lists SOC 2 Type II; Document Crunch says contracts stay with the customer. Not every vendor we read states a training policy.
WHAT TO ASK · Get the training and retention answer in writing, especially for owner-confidential or federal work.
Q07What does a typical project cost, and is spec review priced separately?
WHY IT MATTERS · InspectMind prices spec pages at $0.25 each on top of drawing sheets; Provision prices per project and says Risk Review bundles contract and spec review; Helonic, Specset, Specpoint and SpecLink do not publish figures on the pages we read.
WHAT TO ASK · Price it on your last bid's page count, including the full project manual, not just the drawings.
Bring to the demo
- One past project manual and drawing set with the RFIs and change orders that came from spec-vs-drawing conflicts.
- The addenda and bulletins for that project.
- A non-standard spec you bid recently (DOT book, UFGS, or scanned legacy manual).
- One rejected submittal and the reviewer's comments.
- Your order-of-precedence clause from a typical contract.
- Spec writers: your office master and one issued project manual.
