Adaptive vs Siteline

Two back-office tools that both touch construction billing and lien waivers from different directions. Adaptive runs AI agents on top of a builder's existing ERP for AP, billing (cost-plus, fixed-price and AIA), WIP, change orders, lien waivers and COIs, priced by revenue band. Siteline is pay app and billing software for subcontractors that builds pay apps on each GC's own forms and adds lien waiver, lien rights, compliance-document, A/R and collections tools, by custom quote. Not a like-for-like pair: Adaptive is an AI accounting layer, Siteline is subcontractor billing software that lists one AI feature. Desk research from vendor pages read Oct 30, 2026; not tested, no winner.

AI role (our label)AI-firstNot AI-first
What it doesAgentic project-accounting platform for construction, with AI agents for WIP, change orders, AP, billing and lien waivers on top of the ERP. Vendor lists AI agents for WIP and forecasting, change orders, AP (invoice ingestion and cost coding, duplicate and fraud checks), billings (cost-plus, fixed-price, AIA), cards and bank reconciliation, lien waivers, insurance certificates and W-9s, and a field coordinator that collects updates from supers and PMs by voice, text, or email. Runs on top of the existing ERP (Sage, QuickBooks, Foundation, Acumatica) rather than replacing it, with a bidirectional Procore integration. Vendor says the AI never auto-posts to the general ledger and every action is reviewed by a human first, and that more than 750 builders use it (vendor claims, not verified). Re-read Oct 16, 2026: the homepage describes the Change Order Clerk as monitoring pending change requests, comparing them against contracts, job costs and field updates, drafting change orders, routing them for approval, following up with vendors and owners, and preventing sub payment until client approval is secured (vendor description). Homepage also says it is built for $5M-$1B builders with no ERP migration and links its $30M Series B announcement. Re-read Oct 17, 2026: the homepage now says Adaptive raised a $30M Series B, bringing total capital raised to $57M (vendor statement), lists separate Lien Waiver and Insurance Tracking clerks plus custom agents, and offers a phone line to its AI project accountant; FAQ unchanged (no auto-posting to the GL, first agent live in 30 to 90 days, month-to-month). Re-read again later on Oct 17, 2026: homepage and pricing page unchanged in substance. Re-checked Oct 19, 2026: the homepage says Adaptive is backed by a16z and Emergence and was selected for the 2026 AICPA/CPA.com Startup Accelerator; the FAQ says implementation scope and fees are confirmed before kickoff, and that most supers never log in because the AI project accountant reaches them by voice, text or email (vendor statements). Re-checked Oct 21, 2026: homepage unchanged in substance (AI agents for job costing, AP, billing, WIP and compliance; built for $5M-$1B builders; no ERP migration; a phone line to its AI project accountant). Builder counts and review-site ratings are vendor figures and are not used. Re-checked Oct 25, 2026: homepage, FAQ and pricing page unchanged in substance (the $30M Series B banner; agents for WIP, change orders, AP, billing, cards and bank reconciliation, lien waivers, COIs and W-9s, and field updates by voice; no auto-posting to the GL; Sage, QuickBooks and Foundation listed). Re-checked Oct 26, 2026: homepage and pricing page unchanged in substance (the $30M Series B banner; agents for WIP, forecasting, change orders, AP, billing, cards and bank reconciliation, lien waivers and insurance, and field coordination; Sage, QuickBooks and Foundation as ERPs it runs on top of; bidirectional Procore integration). Builder counts are vendor figures and are not used. Re-checked Oct 27, 2026: homepage unchanged in substance (agentic financial operations for $5M to $1B builders; Series B banner; WIP, forecasting, change order, AP, billing, cards and bank reconciliation, lien waiver and insurance and field coordination agents; Sage, QuickBooks and Foundation; Procore integration). The 750+ builders figure and review-site scores are vendor content and are not used.Billing software for subcontractors that builds pay apps on each GC's exact forms and tracks compliance documents, change orders and lien waivers. It also covers lien waiver generation and collection, A/R reporting, cash-flow forecasts, collections, and lien rights deadlines. Integrates with accounting systems and GC payment portals. Vendor says it has digitized 23,000+ forms from 17,000+ GCs and cites getting paid 3 weeks faster (vendor claims). The homepage does not describe AI, so we tag it Not AI-first; its pricing page (re-checked Oct 16, 2026) does list "AI vendor waiver validation for incorrect forms, amounts, or dates" as a feature of the Siteline Suite and of its vendor-compliance package. Re-read Oct 16, 2026: homepage now promotes a new Lien Rights Management product, says subcontractors have billed over $14B across 250k+ projects with Siteline, and cites 3 weeks paid faster, 7 days saved per month, 6x faster billing and 50% fewer pay app revisions (vendor claims). The pricing quote form asks how many lump sum, unit price and/or T&M projects you bill per month and which ERP you use (Sage, Vista, Spectrum, QuickBooks and others listed). Re-read Oct 17, 2026: homepage and pricing page unchanged in substance (subcontractor-only billing; AI vendor waiver validation listed on the pricing page; unlimited users and offices in every package). Re-checked Oct 19, 2026: unchanged in substance. The pricing page still lists AI vendor waiver validation in the Siteline Suite and Vendor Management packages, and describes Vendor Management as for subcontractors or GCs that want a focused vendor-compliance and lien-waiver tool; billing itself is still built for subcontractors. The homepage still describes no AI, so the tag stays. Re-checked Oct 20, 2026: homepage and pricing page unchanged in substance (subcontractor billing; AI vendor waiver validation still listed in both packages; the homepage still describes no AI). The pricing page details the Lien Rights Management add-on (state-specific lien deadlines, lien protection status per project, notices generated from project data and sent by certified mail from Siteline), says most customers are up and running within two weeks, and its FAQ names Textura, GCPay and Procore Pay among the GC payment portals Siteline integrates with. Re-checked Oct 22, 2026: homepage and pricing page unchanged in substance (subcontractor billing on each GC's forms; AI vendor waiver validation still listed in the Siteline Suite and Vendor Management packages; the homepage still describes no AI, so the tag stays). The quote form now starts by asking company type (subcontractor, general contractor or other) and whether you do commercial work, and the solutions menu has a General Contractors entry for lien waiver and vendor compliance automation. Outcome figures and customer quotes not repeated. Re-read Oct 23, 2026 for a compare: pricing page unchanged in substance (Siteline Suite for subcontractors; Vendor Management for subcontractors or GCs focused on vendor compliance and lien waivers; AI vendor waiver validation listed in both; Lien Rights Management add-on; GC payment portal integrations named as Textura, GCPay and Procore Pay). The homepage still describes no AI, so the tag stays. Re-checked Oct 24, 2026: homepage and pricing page unchanged in substance (pay apps, lien waivers, vendor waivers, Lien Rights Management, collections and reporting for subcontractors; vendor compliance and lien waivers for GCs). Billing-volume, speed and aging figures are vendor claims and not used. The pricing page still lists AI vendor waiver validation for incorrect forms, amounts or dates; the homepage still describes no AI, so the tag stays. Where the vendor descriptions differ

  • What each covers (vendor pages): Adaptive lists agents for WIP and forecasting, change orders, AP (invoice ingestion, cost coding, duplicate and fraud checks), billing, cards and bank reconciliation, lien waivers, COIs and W-9s, and a field coordinator that gathers updates from supers and PMs. Siteline lists pay app management, lien waiver management, Lien Rights Management (state-specific lien deadlines, promoted as new), vendor management for lower-tier waivers and documents, A/R reporting, collections management, cash-flow forecasting and change order tracking.
  • Who it is for: Adaptive is aimed at builders and contractors running their books on Sage, QuickBooks, Foundation or Acumatica. Siteline describes itself as pay app software for subcontractors and says its Vendor Management package also suits GCs that want a focused vendor-compliance and lien-waiver tool.
  • Where AI fits: Adaptive is built around AI agents and says it does not replace the ERP; reviewed numbers are exported to the general ledger. Siteline's homepage does not describe AI, and its pricing page lists AI vendor waiver validation for incorrect forms, amounts or dates in its Siteline Suite and Vendor Management packages (vendor descriptions).
  • Overlap: both handle progress billing and lien waivers. Siteline also tracks compliance documents such as COIs, W-9s and licenses and lists ERP integrations including Sage, Vista, Spectrum and QuickBooks plus GC payment portals. Adaptive lists a bidirectional Procore integration. We have not tested any of these integrations.
  • Pricing (checked Oct 30, 2026): neither publishes figures. Adaptive charges a monthly base fee scaled to annual revenue band covering the first agent, with additional agents scoped, no per-seat or transaction fees, unlimited users and month-to-month terms. Siteline quotes by product usage, billing volume and integration needs from a short questionnaire, with unlimited users and offices and no per-seat or location fees in every package.
  • Not used here: Adaptive's customer count and Series B figures, and Siteline's billed-volume, forms-digitized, days-saved and paid-faster claims (vendor content). Neither tool has been tested by Means & Methods Lab.

Questions to ask in your review

  • Whether you need an AI agent layer across AP, billing and WIP (Adaptive) or dedicated subcontractor pay app and lien management software (Siteline)
  • How each handles your GCs' own pay app forms and portals
  • What you actually pay, and on what basis (neither publishes full prices)
  • What did you use it for, on what kind of work and project size?
  • How long did setup and training take, and who on your team did it?
  • What does it cost you in practice, compared with what the sales call said?
