C/F Data Systems vs Knowify

Two back-office systems for trade contractors. Not like-for-like (our reading): C/F Data Systems' STRUCTUREcloud is full construction accounting for commercial contractors, with its own general ledger, AP, AR, payroll, job cost, procurement and work orders; Knowify is project and service management built to sit on top of QuickBooks, running from estimates and contracts to AIA billing and job costing, with an AI Connector on its higher plans. Knowify publishes prices; C/F Data Systems does not. Desk research from vendor sites read Nov 4, 2026; no winner.

Where the vendor descriptions differ

  • Where the books live: C/F Data Systems' accounting page lists job cost and billing, AR, AP posted to job cost and the general ledger, a multi-company general ledger and payroll that posts labor to job costs. Knowify says it was built from the ground up to complement QuickBooks and lists QuickBooks Online, QuickBooks Desktop and Intuit Enterprise Suite integrations, so the general ledger stays in QuickBooks (vendor statements).
  • Who each names: C/F Data Systems targets commercial contractors, with pages for drywall, electrical, HVAC, mechanical, plumbing, steel, heavy highway and other trades. Knowify names commercial and residential trade contractors such as electrical, plumbing, HVAC, painting, concrete and excavating.
  • Projects and field: Knowify lists estimating, proposals and contracts, change orders, RFIs and submittals, scheduling, time tracking, daily logs, dispatch, AIA billing, prevailing wage and job costing. C/F Data Systems lists project management, document management, an Executive Center, procurement with purchase orders and inventory, work orders for service dispatch and STRUCTURE Mobile for the field.
  • Hosting and integrations: STRUCTUREcloud is the STRUCTURE software hosted by Microsoft on a Windows Virtual Desktop license, with overnight backups and upgrades announced rather than installed automatically; its integrations page names MeasureSquare, Callidus, SafeHarbor, SpecIntel, SiteFotos, Kojo, AvidXchange, ADP, TradeService and ServiceTitan, mostly as file imports. Knowify adds optional fleet, equipment and tool tracking through FleetSharp.
  • AI: Knowify's AI Connector links Knowify data to Claude, ChatGPT and other AI tools for questions about job margins, billing, labor and collections, listed on Advanced and Enterprise plans. The C/F Data Systems pages we read do not describe AI features (tagged Not AI-first).
