Xpedeon vs Adaptive

Two ways to run construction finance, from opposite directions. Xpedeon is an enterprise construction ERP covering accounting, job costing, contracts, subcontractors, CVR, procurement, payroll and site, and says it is adding Xpedeon Project AI. Adaptive is an AI-native project-accounting layer whose agents handle AP, billing, WIP, change orders, lien waivers and COIs on top of an existing ERP such as Sage, QuickBooks or Foundation. Not like-for-like (our reading): Xpedeon is the system of record; Adaptive sits on top of one and says no ERP migration is needed. Desk research from vendor sites read Nov 5, 2026; no winner.

What it doesEnterprise construction ERP covering finance, commercial, procurement and site. Modules include construction accounting (VAT, CIS, GST and reverse charge; e-invoicing with three-way PO and GRN matching; multi-currency, multi-ledger; fixed assets with statutory and management depreciation books; reports by project, phase, client or cost code; audit trails with role-based access), job costing, NEC/JCT contract management, subcontractor management, automated CVR, procurement, supply chain portal, inventory, plant and equipment, HR and payroll, CRM for housebuilders, rentals and a site mobile app. The homepage names India, the UK, the USA, the UAE, Oman and Saudi Arabia as countries where teams use it, and the vendor says its cloud is ISO 27001/27017/27018/27701 and SOC 2 certified (vendor statement). The homepage says "Now with Xpedeon Project AI" and links a Project AI page describing Xplore AI (Project Pulse live figures, plain-language chat over the firm's Xpedeon data, investigations, predictive dashboards for cash-flow stress, collection delay, stockouts and margin erosion, and signals such as expiring subcontractor certificates or unbilled variations) and Xpedite AI agents in four families (Assist, Document, Capture and Progress) that act within Xpedeon's permissions, workflows and approvals, both on a shared Project Knowledge Map. Other homepage lines say Xpedeon is building the intelligence and that soon Project AI will help act on mobile-captured data, so general availability is not stated; we keep the Not AI-first tag until it is clear. Country, user, enterprise, site and contract-value counters are vendor claims and are not used.Agentic project-accounting platform for construction, with AI agents for WIP, change orders, AP, billing and lien waivers on top of the ERP; aimed at $5M-$1B builders with no ERP migration. Vendor lists agents for WIP and forecasting, change orders, AP (invoice ingestion and cost coding, duplicate and fraud checks), billings (cost-plus, fixed-price, AIA), cards and bank reconciliation, lien waivers, insurance certificates and W-9s, plus custom agents and a field coordinator that collects updates from supers and PMs by voice, text or email (the FAQ says most supers never log in), and a phone line to its AI project accountant. The Change Order Clerk is described as monitoring pending change requests, comparing them against contracts, job costs and field updates, drafting change orders, routing them for approval, following up with vendors and owners, and holding sub payment until client approval is secured. Runs on top of the existing ERP (Sage, QuickBooks, Foundation, Acumatica) rather than replacing it, with a bidirectional Procore integration. Vendor says the AI never auto-posts to the general ledger and every action is reviewed by a human first. Company statements: a $30M Series B, backing from a16z and Emergence, and selection for the 2026 AICPA/CPA.com Startup Accelerator. Builder counts and review-site ratings are vendor figures and are not used.
Who it's forContractors, housebuilders, developers and ETO companies.Construction companies with $5M to $1B in revenue: general contractors, specialty trades, custom home builders, developers, and their accounting firms (vendor wording).
Pricing (as publicly stated)No public prices: the vendor site has no pricing or plans link, /pricing and /plans return a not-found page, and the calls to action are Book a demo and Book a discovery call. Confirm pricing with the vendor. Not publicly listed (monthly base fee scaled to annual revenue band, covering the first agent; additional agents scoped once the first is proven, chosen from an agent menu that lists AP, AR, WIP, payments, lien waivers and COIs). The pricing page lists month-to-month contracts, 30 to 90 days to go live, unlimited users, no per-seat or transaction fees, full data export, no charges for additional integrations within the supported list, and SOC 2 Type 2; the FAQ says implementation scope and fees are confirmed before kickoff. The page says the setup costs less than a single accounting hire (vendor wording, no figure).

Where the vendor descriptions differ

  • Who it is for: Xpedeon names contractors, housebuilders, developers and ETO companies, and lists India, the UK, the USA, the UAE, Oman and Saudi Arabia among countries where teams use it. Adaptive names construction companies with $5M to $1B in revenue: general contractors, specialty trades, custom home builders, developers and their accounting firms.
  • Scope: Xpedeon lists construction accounting (VAT, CIS, GST and reverse charge; e-invoicing with three-way PO and GRN matching; multi-currency and multi-ledger), job costing, NEC/JCT contract management, subcontractor management, automated CVR, procurement, inventory, plant, HR and payroll, CRM for housebuilders and a site app. Adaptive lists agents for WIP and forecasting, change orders, AP invoice coding with duplicate and fraud checks, billings (cost-plus, fixed-price, AIA), lien waivers, insurance certificates, and a field coordinator that collects updates by voice, text or email.
  • ERP relationship: Xpedeon is the ERP. Adaptive says it is not replacing the ERP and syncs to accounting systems including Sage, QuickBooks and Foundation, plus project-management, banking and card systems.
  • AI: Xpedeon's homepage says "Now with Xpedeon Project AI" and describes Xplore AI and Xpedite AI agents, but other lines say Project AI will soon help act on mobile-captured data, so we keep it tagged Not AI-first. Adaptive is tagged AI-first; it says the AI never auto-posts to the general ledger and every action is reviewed by a human first (vendor statements).
  • Pricing (read Nov 5, 2026): neither publishes prices. Xpedeon has no pricing page; calls to action are Book a demo and Book a discovery call. Adaptive charges a monthly base fee scaled to annual revenue band covering the first agent, month-to-month, with unlimited users, no per-seat or transaction fees and 30 to 90 days to the first agent going live; implementation fees are confirmed before kickoff. See each tool page for detail.
  • Not used here: customer quotes, builder counts, funding figures and user or contract-value counters (vendor material). Facts for both tools come from vendor websites (desk research).

Questions to ask in your review

  • Whether you are replacing your accounting and operations system, or keeping your ERP and adding agents for AP, billing, WIP and compliance work
  • Whether Adaptive supports the ERP you run today, and whether Xpedeon's UK-style CVR, CIS and NEC/JCT features matter for your market
  • When Xpedeon Project AI features are generally available, and what each costs for your revenue and user count
  • What did you use it for, on what kind of work and project size?
  • How long did setup and training take, and who on your team did it?
  • What does it cost you in practice, compared with what the sales call said?
