Questions to ask before an AP automation, construction accounting or spend AI pilot

A checklist for a first conversation with a construction AP automation, spend management, ERP sync or AI project accounting vendor. These are our suggestions, drawn from our finance, payments and risk category and our back-office AI roundup. They are not findings: Means & Methods Lab has not tested any tool. Where a question mentions a vendor, it points to something that vendor publishes on its own pages (read Oct 17, 2026). Desk research, not tested.

SUGGESTIONS, NOT FINDINGS. No tool has been tested by Means & Methods Lab. Vendor facts are desk research from vendor websites and are not verified. Updated 2026-10-17.

The questions (9)

  1. Q01Which back-office job are you buying for: invoice capture, field card spend, ERP sync, or agents across the accounting cycle?

WHY IT MATTERS · These tools start in different places. Adaptive describes AI agents across project accounting: WIP and forecasting, change orders, AP, billings, cards and bank reconciliation, lien waivers, insurance tracking and a field coordinator. Agave sells standalone products (ERP Sync, AP Automation, Expense Management, AI Analytics, Agave MCP, Vendor Compliance and AI Agents). EzzyBills is AI data extraction and AP automation. Finvari combines a corporate card, expense management and AP invoice automation. Speedchain is a commercial card with an AI Receipt Agent. Morpheus is an integration platform that syncs project and accounting data and does not pitch AI.

WHAT TO ASK · Name the one process the pilot must fix (for example invoice entry, receipt chasing or PM-to-ERP double entry) and who owns it before you book demos.

  2. Q02Does it replace your ERP, or sit on top of it?

WHY IT MATTERS · Adaptive says your general ledger stays in your existing accounting system (it names Sage, QuickBooks, Foundation and Acumatica) and that it exports reviewed numbers into it. Agave says it layers on top of your ERP with no rip-and-replace. Finvari and Speedchain say approved transactions sync into your current ERP. Morpheus connects ERP/finance, project management, CRM and HCM systems.

WHAT TO ASK · Ask which system stays the book of record for each number (commitments, cost codes, invoices, GL entries) once the tool is live.

  3. Q03Is your exact ERP version and PM system on the supported list today?

WHY IT MATTERS · Agave lists Acumatica, CMiC, Deltek ComputerEase, Foundation, QuickBooks Online and Desktop, Sage 100 Contractor, Sage 300 CRE, Sage Intacct, Viewpoint Spectrum and Vista, plus Procore and Autodesk Build. Morpheus lists Autodesk Construction Cloud, Procore, Trimble ProjectSight, Kahua, Microsoft Dynamics 365, Viewpoint, Sage, Oracle, Unanet, TrebleHook, Coupa and Emburse. Adaptive names Sage, QuickBooks, Foundation and Acumatica and a bidirectional Procore integration. EzzyBills connects to Xero, MYOB and QuickBooks on every plan, but its pricing table shows the Simpro, Cin7, ServiceTitan and Procore connections only from its E10 plan up. Speedchain's homepage says it syncs to your current ERP without listing which.

WHAT TO ASK · Give the vendor your ERP name, version and hosting (on-premise or cloud) and your PM system, and ask for a live sync in the demo rather than a logo on a slide.

  4. Q04How does it code an invoice to job and cost code, and what about the messy ones?

WHY IT MATTERS · Adaptive says its AP Clerk ingests every invoice, codes it to job and cost code, routes it for approval, syncs to the ERP and catches duplicates and fraud. Agave lists matching to POs and subcontracts, contract variance detection, budget line matching, splitting invoices across jobs and routing to PMs. Finvari says it extracts invoice header and line-item details and routes invoices using job data and approval rules already in your ERP. EzzyBills lists purchase order matching from its E10 plan up.

WHAT TO ASK · Run one month of real invoices, including multi-job splits, credit memos, retainage and a planted duplicate, and count how many needed a correction.

  5. Q05What posts or pays on its own, and what does a person approve?

WHY IT MATTERS · Adaptive's FAQ says the AI never auto-posts to the general ledger and every action is reviewed by a human before it touches the books. Speedchain describes AI reading a receipt and a person tapping to approve, with unapproved purchases stopped at the counter by spend controls. Morpheus describes real-time, automated data movement with no human intervention, which is the point of a sync tool but means a bad mapping moves fast. These are vendor descriptions.

WHAT TO ASK · Ask for the approval rules in writing: which actions the software takes alone, which need sign-off, and how a wrong entry is found and reversed.

  6. Q06How do field receipts and card spend get coded without chasing the crew?

WHY IT MATTERS · Speedchain says a cardholder gets a text after a purchase, sends a receipt photo, and AI reads the vendor, amount and job code for approval. Finvari issues physical and virtual cards, captures receipts by photo or email, lists using AI to auto-categorize expenses, and describes spending rules down to merchant-category limits and pump-only fuel. Adaptive lists a Cards & Bank Recs Clerk; Agave's Expense Management says it works with all major corporate cards and auto-codes to job, cost code and GL.

WHAT TO ASK · Have a foreman and a superintendent run a week of real purchases in the pilot, and track how many receipts arrive coded correctly without a follow-up from AP.

  7. Q07What are the time-saving and capacity figures based on?

WHY IT MATTERS · Agave cites $27B in construction projects processed, 60+ hours saved per month for finance teams and an estimated $130M saved on headcount and software. Adaptive says its agents cost less than a single accounting hire and that 750+ builders use it. Morpheus says you can be up and running in hours. These are vendor claims; none of the pages we read gives the method, sample or baseline.

WHAT TO ASK · Measure your own baseline first (invoices per AP clerk per week, days to close, receipts missing at month-end) and compare the pilot month against it.

  8. Q08How is it priced, and what does implementation cost?

WHY IT MATTERS · Adaptive charges a monthly base fee scaled to revenue band that covers the first agent, with more agents scoped up front, month-to-month terms, no per-seat or transaction fees and 30 to 90 days to go live. Agave prices each product by business size and the modules or seats used, with one-time implementation fees on AP Automation, Expense Management, Vendor Compliance and AI Agents. EzzyBills publishes annual plans in Australian dollars from A$132 (up to 450 documents) to A$22,000 a year, with a 14-day free trial; its E10 plan is A$1,210 for up to 5,400 documents. Finvari says its platform is free, with no annual, monthly or per-user fees, and does not say how it earns revenue; its card is issued by Sutton Bank. Speedchain and Morpheus publish no prices.

WHAT TO ASK · Price the same scope with each vendor (your invoice volume, users, entities and ERP), and for a free platform ask how the vendor is paid, for example card interchange or payment fees.

  9. Q09What happens to your financial data, and can you leave cleanly?

WHY IT MATTERS · Adaptive lists SOC 2 Type 2, full data export and month-to-month cancellation. Agave links a Security Portal from its site and offers Agave MCP, which connects your ERP and PM data to ChatGPT, Claude or Copilot. Vendor statements; we have not reviewed their security reports.

WHAT TO ASK · Ask for the SOC 2 report, which data leaves the vendor's system (especially through chatbot connections), whether your data trains models, and what export you get on cancellation.
