Questions to ask before a daily report or voice-to-report AI pilot
A checklist for a first conversation with a vendor that says its AI can write your daily reports or field logs. These are our suggestions, drawn from our field, progress & safety category and our field daily reports roundup. They are not findings: Means & Methods Lab has not tested any tool. For seat counts, offline use and exports in general, see our field reporting app trial checklist. Where a question mentions a vendor, it points to something that vendor publishes.
The questions (7)
Q01Is the AI drafting the narrative, or is the app assembling data you already capture?
WHY IT MATTERS · Sitemate's Storm, Fieldwire Field Intelligence, CompanyCam's AI tools and Crewscope describe AI turning voice, photos or texts into structured records. busybusy, HCSS HeavyJob, Riskcast, Rhumbix and Contractor Foreman describe dailies assembled from time cards, weather, equipment and photos, without AI. Those are different products with different failure modes.
WHAT TO ASK · Ask the vendor to point to the exact fields the AI fills and the fields it never touches.
Q02Who signs the daily, and can the AI ever submit a record by itself?
WHY IT MATTERS · Sitemate says Storm never commits a record on its own, and signature and sign-off fields always require manual action. Ask every vendor for the same statement in writing. A signed daily can end up as evidence in a delay claim or payroll dispute.
WHAT TO ASK · In the demo, try to get the AI to submit a report without a human approval step.
Q03Does the audit trail show what the AI wrote versus what a person changed?
WHY IT MATTERS · Sitemate says every input, draft, edit and approval is logged with a traceable owner. If a dispute turns on what the foreman knew that day, you want to be able to tell the AI's draft from the human edit.
WHAT TO ASK · Ask for a sample audit export of one AI-drafted daily with at least one human edit.
Q04How does it handle noisy sites, accents, other languages and no signal?
WHY IT MATTERS · Sitemate says Storm handles site noise, accepts input in multiple languages, and queues offline captures until reconnect. CompanyCam lists translation. Crewscope works over SMS with no app. Test it under your own conditions rather than relying on a demo recorded in an office.
WHAT TO ASK · Record three real voice notes on site, one near running equipment and one in a second language, and run them through the pilot.
Q05Where do quantities, hours and pay items come from: the AI or the system of record?
WHY IT MATTERS · For self-perform and DOT work, HCSS HeavyJob ties DFRs to time cards, quantities and pay items with owner-rep sign-off, and Riskcast syncs time, production and dailies to the ERP. A narrative AI should not become a second, unreconciled source of quantities.
WHAT TO ASK · Ask whether AI-extracted quantities post to cost codes automatically, need approval, or are never posted.
Q06Will the owner, inspector or owner's rep accept the format?
WHY IT MATTERS · Contractor Foreman lists templates that control what gets shared with clients or owners; HeavyJob lists inspector/owner sign-off on DFRs. Owners and agencies often prescribe daily report contents. Check the AI output against those requirements before the pilot starts.
WHAT TO ASK · Bring the owner's required daily report form and ask the vendor to map every field.
Q07Is field data used to train models, and which model runs where?
WHY IT MATTERS · Fieldwire says customer data is not used to train AI without explicit permission. Sitemate lists LLM selection per workflow. Others in our roundup did not address it on the pages we read, so ask.
WHAT TO ASK · Get the training-data, retention and subprocessor policy in writing before uploading jobsite photos or crew voice recordings.
