Closeout Pro vs Extracts Pro
Two closeout tools for Procore jobs that collect subcontractor closeout documents and hand the owner a searchable package. Not like-for-like (our reading): Closeout Pro is a standalone closeout, handover and warranty platform that can sync from Procore, Autodesk, CMiC or ProjectSight or run on its own, while Extracts Pro runs as an embedded app inside Procore and builds closeout binders from Procore data. Compared using only vendor pages re-read Oct 17, 2026; desk research, not tested, no winner.
In short: Closeout Pro (Closeout & handover; no public prices (quote / sales)) vs Extracts Pro (Closeout & Procore data workflows; no public prices (quote / sales)). Facts last checked Oct 17, 2026. No winner declared; not tested.

| What it does | Closeout, handover and warranty management platform for contractors, commissioning teams and owners, from project kickoff to owner handover. Re-read Oct 17, 2026: its FAQ lists Spec Genie (reads specs, detects submittal gaps and generates the closeout register), Planner (closeout readiness tracking) and Warranty modules, plus Genie, which answers questions across specs, closeout documents, warranties, submittals and tickets. It syncs daily from Procore, Autodesk Construction Cloud, CMiC or ProjectSight, or runs standalone with manual upload and CSV import; QR-tagged assets open O&M, warranty and service history without a login. Its FAQ calls Genie the AI layer, but the homepage does not use the term AI, so we do not label it AI. ISO 27001 and SOC 2 (vendor statement). | Procore closeout packages and scheduled Procore data extraction to SharePoint, Box or Procore, run as an embedded app inside Procore. Listed at Groundbreak as COPE, linking to extractspro.com. Re-read Oct 17, 2026: Closeout Log requests and tracks subcontractor closeout documents with a live dashboard and reminders and compiles a searchable, locally hyperlinked ZIP binder; Automations applies if-this-then-that rules to sync data from 20+ Procore tools on a schedule or after an event, with configurable folders and file names, so files stay in your own systems if Procore access lapses. Its FAQ says it works primarily with US customers. Its pages do not describe AI features. |
| Who it's for | Contractors and the owners/operators receiving handover. | Procore customers handling closeout and backups. |
| Pricing (as publicly stated) | No public prices found (re-checked Oct 17, 2026): the vendor site has no pricing or plans link in its navigation or footer, and /pricing returns a not-found page. Its FAQ says pricing is per project or per portfolio, packaged by its sales team; there is no free trial, and pilots are offered case by case. Onboarding (a kickoff call and two workshops) carries no extra fee. Confirm current pricing with the vendor. | Custom quote / no public prices on pricing page (re-checked Oct 17, 2026). The page lists Closeout Log and Automations, and Standard, Advanced and Enterprise packages, each routing to Get a Quote; its FAQ says quotes depend on product selection, project size, number of connected projects and customization such as integrations with existing document systems. |

Where the vendor descriptions differ
- Scope (vendor wording): Closeout Pro calls itself a construction closeout, handover and warranty management platform that runs from project kickoff to owner handover, built for contractors and trade partners, commissioning companies, and owners, developers and facilities teams. Its FAQ lists three core modules, Spec Genie, Planner (closeout readiness tracking) and Warranty, plus Genie, its question-answering assistant. Extracts Pro, the trading name of TrailB Technologies LLC, sells Closeout Log and Automations; it says Closeout Log was purpose-built for Procore customers and builds on the submittals, RFIs and inspections already in Procore.
- Where the work happens: Closeout Pro's FAQ says it can be managed entirely on its own (logs created, routed for approval and handed over inside the platform), synced from a connected PMIS, or a hybrid of both. Connected platforms autosync daily, not in real time; its Procore page lists RFIs, submittals, drawings, punch lists, directory and specifications, its FAQ says Autodesk Construction Cloud syncs sheets, RFIs, directory and specifications, and other systems can use manual upload or CSV import. Extracts Pro runs as an embedded app inside Procore with Procore login, and filters packages by tool, type, date range, responsible contractor or spec section.
- Collecting documents: Closeout Pro describes one system for O&M manuals, warranties, as-builts and owner deliverables with trade accountability, plus readiness scoring and blocker alerts. Extracts Pro's Closeout Log tracks which trades have submitted required documents with a live dashboard and automated reminders, which it says helps de-risk final payment.
- The handover package: Extracts Pro compiles a searchable digital binder organized by tool, contractor, document type and more, delivered as a locally hyperlinked ZIP folder with no links back to Procore.com. Closeout Pro generates a hyperlinked closeout package from synced records and keeps a searchable owner package online; its FAQ says assets are tagged with QR codes during closeout, and scanning one pulls up the O&M manual, warranty status and service history without a login.
- After handover: Closeout Pro's FAQ says warranty tracking, with ticket tracking and an owner workflow, is included with every subscription and is generally active for one year after project completion, extendable by subscription tier. The Extracts Pro pages we read do not describe warranty tracking; its Automations product copies data from 20+ Procore tools to SharePoint, Box or Procore on a schedule or after an event.
- AI: Closeout Pro's Genie page lists Spec Genie (live: reads specs, detects submittal gaps and auto-generates the closeout register), Asset Genie (in development: extracts equipment schedules from drawings and suggests asset-to-document matches that your team confirms) and Operations Genie (planned: maintenance schedules from specs and O&M documents). Its FAQ calls Genie "the AI layer", but its homepage does not use the term AI, so our label stays Not AI-first. Extracts Pro's pages do not describe AI features.
- Security and data (vendor statements, not verified): Closeout Pro says it is ISO 27001 and SOC 2 certified, with a Drata trust center, that data is hosted on AWS in the United States with a backup in a second AWS region, and that you can download your data if you cancel. Extracts Pro publishes a DPA and a subprocessor list (last updated Nov 6, 2024), and its FAQ says it works primarily with US customers.
- Pricing and onboarding: neither publishes prices. Closeout Pro's FAQ says pricing is per project or per portfolio, packaged by its sales team; there is no free trial, pilots are offered case by case, and onboarding (a kickoff call and two workshops) carries no extra fee; closeout-pro.com/pricing returned a not-found page on Oct 17, 2026. Extracts Pro's pricing page lists Standard, Advanced and Enterprise packages, each with a Get a Quote button; its FAQ says quotes depend on product selection, project size, number of connected projects and customization. Not used here: homepage counters (rendered 0 in our fetch), Closeout Pro's admin-time and handover percentages and ROI calculator, customer quotes on both sites, and Extracts Pro's own closeout app comparison page.

What we can't tell you yet
Which tool is better for your work. That needs testing on the same package with a verified answer key. Planned measures for this comparison:
- Whether your owner accepts each handover format: a hyperlinked ZIP binder or an online package with QR access
- How each handles closeout items kept outside Procore, and whether a daily sync is enough near substantial completion
- What each costs for your project count; neither publishes prices
